LiteLog — Attendance Tracking for Educational Institutions

LiteLog captures attendance at schools, universities, and educational providers digitally, in a structured and traceable manner. Participants check in via smartphone app by scanning a dynamic QR code on a kiosk at the room entrance. Courses are created once and repeat automatically.

How it works

The central concept: Each room is represented by a kiosk. Any device with a browser can serve as the display — a room PC, laptop, tablet, or existing screen. No additional hardware purchase is required. The kiosk automatically shows the current course and switches to the next one on its own.

  1. Create a location — Set up the campus or building in the portal
  2. Create a kiosk per room — Under Location > Attendance Tracking > Kiosk Management
  3. Assign courses — Create courses once and assign them to the kiosk (= room); recurring schedules are generated automatically
  4. Set up a device — Place a room PC, laptop, tablet, or screen in full-screen mode at the room entrance
  5. Participants check in — Scan the QR code on the kiosk with the LiteLog App

How is a location structured?

Dynamic QR code

The QR code on the kiosk rotates approximately every 60 seconds. During the transition, the old and new codes are briefly valid at the same time. This prevents screenshots or forwarded codes from being misused. Participants scan with their own app and receive instant confirmation. The kiosk requires an active internet connection for this.

For rooms without a reliable internet connection, a static QR code can be downloaded and printed for each kiosk. It does not rotate and works offline — but offers no protection against screenshots.

Core features

  • Automatic course switching — Between events, the kiosk switches on its own. No manual intervention required.
  • Minimum check-in with alerting — Optional: If a minimum number of participants is not reached, responsible persons are automatically notified.
  • Real-time attendance — Teachers can see at any time who has checked in.
  • Export for billing — Attendance data exportable as CSV or PDF — for statistics, records, and funding body billing.
  • Check-in only — If only arrival is relevant, enable automatic ending. Participants do not need to check out — attendance is automatically ended when the course finishes.
  • Scalable — Works for 20 people in a seminar room just as well as for 300+ in a lecture hall.

Privacy & GDPR

Digital attendance tracking protects student data better than paper lists. A paper list lies openly in the room — every participant can see all names and, where applicable, student ID numbers. The list can be photographed with a smartphone at any time and shared — via messenger, on social media, or by email. From that point on, there is no control over the data. There is no access protection, no deletion deadlines, and no proof of who viewed or distributed the data.

With digital recording, no student sees another's data — each person simply scans their own QR code.

LiteLog protects personal data through:

  • Access control — Only teachers and administrators can see attendance data. Students see only their own check-ins.
  • Encryption — All data is transmitted and stored encrypted. Hosting exclusively in Germany.
  • Dynamic QR code — The QR code rotates approximately every 60 seconds. Screenshots or forwarded codes become invalid after a short time.
  • Retention periods — Retention periods can be configured. Data can be automatically deleted after expiry.
  • Audit logging — Every access and every change is documented in an audit-proof manner.
  • Pseudonymisation — Optionally, pseudonymised identifiers can be used instead of real names. The mapping to real persons is then done manually during evaluation by the institution.

Practical example

Each room — classroom, lecture hall, gym, or outdoor area — gets its own kiosk. Participants check in via the LiteLog App using the dynamic QR code. Events are created once and repeat automatically. Optional: Minimum check-in with automatic alerting on low attendance. The captured data provides usage statistics for planning, billing, and quality development.
