# Guide for Management & Operators

This guide is for management staff and operators of community shelters who evaluate and document occupancy data.

## Monitoring Occupancy in Real Time

The [Attendance List (Live)](../attendance-live/attendance-live.md) shows you at any time:

- **Dashboard tiles** — Number of currently present residents at a glance
- **Current tab** — Live status of each resident with real-time updates (no reload needed)
- **History tab** — Monthly overview matrix of all attendance records

### Filtering by Site

If you manage multiple shelters:

1. Open the filter bar via the filter icon
2. Select the desired property (= shelter)
3. Optional: Additionally filter by role or status

## Reports and Exports

### CSV Export

Attendance data can be exported directly from the [Attendance List (Live)](../attendance-live/attendance-live.md) as CSV:

1. Filter the desired data (time period, site, status)
2. Click the export button
3. The CSV file can be imported into Excel or other systems

### Data & Reports

Under [Data & Reports](../data-reports/data.md) you will find extended reporting options:

- Summaries by time period
- Filter options by site, employee, and role
- Export for funding body billing

### Evacuation List as PDF

The [Evacuation List](../attendance-live/evacuation-list.md) can be downloaded as PDF or printed at any time — not only in emergencies but also as proof of documentation.

## Attendance Logs

Under [Attendance Logs](../attendance-logs/attendance-logs.md) you will find the complete history of all scan events:

- Who checked in or out when?
- At which site did the scan take place?
- Audit-proof documentation for inspections

## Documentation for Authorities and Funding Bodies

LiteLog provides reliable evidence for:

| **Billing for funding bodies** | CSV export from the attendance list or Data & Reports |
| **Authority inspections** | Attendance logs (audit-proof) |
| **Occupancy records** | History tab in the attendance list |
| **Emergency documentation** | Evacuation list as PDF |

## Attendance Control (Optional)

With [Attendance Control](../attendance/attendance.md) you can set up automatic checks:

- Define requirements for which residents should be present at which times
- Automatic notifications on deviations
- Configuration via [Attendance Form](../attendance/attendance-create.md)
