Setup for Community Shelters
This guide is for administrators and management staff setting up LiteLog in a community shelter.
Prerequisites
- LiteLog account (via the Shop or your contact person)
- NFC tags (cards or keychains) for residents
- A smartphone or tablet as a stationary terminal at the entrance
- Wi-Fi connection at the terminal location
Step 1 — Create a Site
Create a site (property) in the portal for each shelter:
- Navigate to Properties in the portal
- Create a new property with the shelter name
- Optional: Add the address for the map view
A site corresponds to a building or connected facility. For multiple buildings at different addresses, create one site each.
Step 2 — Register Residents
Residents are created as employees in the portal:
- Navigate to Employees
- Create an entry for each resident with name and optional personnel number
- Use custom fields for additional information (e.g., room, floor, building)
- Assign the appropriate role to the resident (e.g., "Resident")
:::tip Custom Fields Custom fields like "Room" or "Floor" automatically appear as columns in the Evacuation List — so emergency services know immediately where people are located. :::
Step 3 — Assign NFC Tags
Assign a personal NFC tag to each resident:
- Open the resident's profile
- Scan the NFC tag with a smartphone or enter the tag ID manually
- The tag is active immediately
NFC tags are available in the Shop as cards or keychains.
Step 4 — Set Up Terminal
Set up a smartphone or tablet as a stationary terminal at the entrance:
- Install the LiteLog app on the device
- Register the device in the portal under Device Management
- Place the device in full-screen mode at the entrance area
- Ensure the device is connected to power and Wi-Fi
The terminal displays a scan interface — residents hold their NFC tag against the device to check in or out.
Step 5 — Configure Attendance Requirements (Optional)
If you want to use automatic checks and alerts:
- Create an attendance requirement for the shelter
- Define which residents should be present at which times
- Enable notifications for deviations
Step 6 — Roles and Permissions
Set up roles for the different user groups:
| Role | Recommended Permissions |
|---|---|
| Management | View time tracking, Export time tracking, Edit employees |
| Security Services | View time tracking, Export time tracking |
| Restricted Access | View time tracking |
Next Steps
After setup, you can:
- Use the Attendance List (Live) to see occupancy in real time
- Set up the Guard View on a monitor at the entrance
- Create reports for funding bodies
