Evaluate Attendances in the Portal – Monthly Overview of Attendance Days

This view shows, for each person and each day of a given month, whether an attendance took place or not. The focus is therefore on the question: “Was the person present on this day?” – not how many hours were worked.

The monthly overview is especially useful for billing, monthly reports, attendance records, and statistical evaluations.

1. Purpose of the “Attendance (Month)” View

While the time tracking view displays exact times and breaks, the monthly view intentionally reduces the information to attendance per day. This makes it easier to:

  • prepare billing based on attendance days,
  • get quick monthly overviews,
  • provide official records for clients or authorities,
  • compare data across multiple months.

2. What Does the Monthly View Show in Detail?

The table displays all relevant persons with a day-based marking for the selected month. Typical contents include:

  • Person: Name of the person.
  • Role: e.g., employee, resident, security staff (depending on your configuration).
  • Daily overview: For each calendar day of the month, it shows whether the person was present or not present.
  • Month selection: A date element allows you to choose the desired month.

This view does not display hour values. It is intentionally day-oriented to keep evaluations simple.

3. Typical Use Cases

3.1 Billing and Payroll Preparation

Many organizations calculate attendance based on days rather than hours. The monthly view shows:

  • how many days a person was present during the month,
  • which days have no recorded attendance,
  • a basis for daily rates or flat billing models.

Example: A person has 18 days marked as “present” during the month – this information can be used directly for flat-rate billing.

3.2 Security Services and Facility Service Providers

Security companies can check:

  • on which days a site was staffed,
  • which persons were deployed on which days,
  • how many deployment days per month occurred per site or person.

3.3 Care Facilities, Residential Groups, and Educational Institutions

In social or educational settings, the view is often used as an official attendance record:

  • attendance days of residents or participants,
  • documentation requirements for agencies or authorities,
  • basis for funding and billing.

3.4 Monthly Analysis and Staff Planning

The monthly view also helps identify trends and patterns:

  • frequent absences of certain persons,
  • month-to-month or team comparisons,
  • planning future duty or deployment schedules.

4. Filters in the Monthly View

To see all filter options, first click the filter icon in the top right corner.

Depending on your configuration, the following filters may be available:

  • person search,
  • role,
  • area / location,
  • month selection via calendar.

Examples of typical filter queries:

  • “Show all employees in January.”
  • “Show only residents in Area A.”
  • “Which persons were present last month at Location X?”

5. CSV Export

The day-based attendance overview can be exported as a CSV file using the download icon.

The export is useful for:

  • billing based on attendance days,
  • monthly reports and statistics,
  • further processing in Excel or accounting systems,
  • archiving and official documentation requirements.

All active filters are automatically applied to the export, ensuring that only the currently displayed data is included.
