Attendance via stationary terminal

Not everyone whose attendance you want to track has a smartphone with the LiteLog app: residents of a housing or care facility, temporary staff at the gate, visitors at reception. For these cases you link a personal NFC card to each person and install a fixed device by the entrance. The person holds the card to the device and is checked in — no app, no password.

This page covers setting up and running this arrangement. For employees with their own smartphone, compare the check-in methods first: there, the kiosk with a QR code on a screen is the matching alternative.

What you need

  • A smartphone or tablet with NFC as the stationary device, permanently on power and Wi-Fi
  • One NFC card or NFC key fob per person (available in the shop)
  • A dedicated LiteLog account for the device that nobody else signs in with

Step 1 — Create a property

Under Properties, create a separate property for each building or each connected site. For several buildings at different addresses, create one property each — the attendance list, evacuation list and reports can then be filtered cleanly per site.

Step 2 — Create people

People are managed like employees: under Master data → Employees with name, optional personnel number and a dedicated role (e.g. "Resident" or "Visitor") so they stay separate from your staff in lists and permissions. You define the role's name in the hierarchy. Details: Manage people.

:::tip Custom fields Store room, floor or building as custom fields. These fields automatically appear as columns in the evacuation list — in an emergency, the list immediately shows where a person is located. :::

Linking happens in the LiteLog app on a smartphone with NFC:

  1. Open People → Manage access cards
  2. Choose Link NFC card, select the person and hold the card to the smartphone
  3. The card is active immediately; the person's portal profile shows "Chip linked"

Lost or replaced cards are unlinked in the app under Edit person or in the portal profile, then a new one is linked. Details: Administration in the app.

Step 4 — Set up the device at the entrance

  1. Install the LiteLog app on the stationary device and sign in with the dedicated account. The device then appears in the portal under Devices.
  2. Place the device at the entrance and make sure it has power and Wi-Fi.
  3. Optional: lock the device to the LiteLog app via device management, see Kiosk mode.

The device shows the scan screen. People hold their card to the device to check in when entering and check out when leaving.

Step 5 — Attendance rules (optional)

If certain people are expected at certain times, create an attendance rule for the property and enable notifications for deviations. The check runs automatically, see Attendance control.

Day-to-day operation

At the entrance: guard view and evacuation list

A monitor at the gate or in the guard room runs the guard view: the most recently scanned person with photo and status on the left, the chronological scan events on the right. The red Evacuation list button opens the list of all present people for the filtered property at any time — to print or as PDF.

In administration: occupancy, history, reports

  • Occupancy now — the attendance list (live) shows each person's status in real time in the Current tab; the Present tile gives the number at a glance. With several properties, narrow down to one via the sidebar.
  • Occupancy per month — the History tab shows the monthly matrix of all attendances.
  • Evidence — the Export button of the live list delivers the displayed data as CSV. Summaries by period and sending to third parties run via Export & delivery.
  • Complete history — the attendance logs record every scan event with time and property, audit-proof for inspections.
