Guide for Engineering & Maintenance
This guide is for engineers, maintenance staff and facility managers in hotel operations. It explains how to run patrols, process repair reports and document maintenance.
1. Install the app & sign in
Depending on your setup, you will either use a company phone at the hotel or your personal smartphone. The sign-in method (QR code, username + password, or NFC chip) is specified by your manager.
- Download the app: Install the LiteLog app from the App Store (iOS) or Google Play Store (Android)
- Sign in: Use the sign-in method provided by your manager
- Check location: Make sure you are signed in to the correct hotel

2. Scanning NFC & QR codes
In LiteLog, you scan NFC tags and QR codes for patrols, checkpoints and time tracking. Here's how it works on your device:
Scanning NFC tags:
- Android: Simply hold your smartphone to the NFC tag — Android detects tags automatically in the background
- iOS: Swipe right to left to open the NFC scanner, then hold your smartphone to the tag
Scanning QR codes:
- Swipe left to right to open the QR code camera, then scan the code
The app confirms each scan with a green checkmark.
3. Run patrols
Patrols are the main function for engineering — night shift rounds, security patrols and technical inspections are performed as routes with checkpoints.
Start the patrol
- Tap the upcoming patrol in the app
- Press Start now
- Go to the first checkpoint and scan (NFC tag or QR code)
Check each checkpoint
At each checkpoint:
- Scan — NFC tag or QR code
- Confirm status — everything OK
- If there's an issue: Create a report directly — add description and photo
Complete the patrol
When all checkpoints have been scanned, the patrol is automatically marked as Completed. If a point is not accessible, you can still finish the patrol — the missing scan will be documented as a deviation.
Each scan creates a timestamp. Unvisited points are automatically flagged.

4. Receive & process repair reports
Defects and repair orders come from various departments:
- Housekeeping reports: defective lamp, dripping faucet, damaged furniture
- Reception reports: guest complaints about heating, air conditioning, TV
- Patrols generate: issues at technical rooms, emergency exits, outdoor areas
A report becomes a task — automatically via an automation rule (trigger "Incident created" → action "Create task") or by linking it manually. The task appears in the app with description, photos, categories and priority.
Prioritize & assign tasks
The engineering manager sees all open tasks and can:
- Set priority — high, medium, low
- Assign — to the responsible technician
- Set a due date — the date by which the task must be done
The time filter tabs Overdue and Today keep critical repairs in view.

5. Document completion
After the repair, the technician documents the completion:
- Open the task — select the assigned task in the app
- Describe the action — e.g., "Faucet replaced", "Thermostat recalibrated"
- Attach photo — document the condition after repair
- Complete task — set status to "Done"
The documentation is traceable and audit-ready — every action with timestamp and responsible person.
6. Maintenance cycles & scheduled maintenance
Set up regular maintenance as recurring tasks — with daily, weekly or monthly repetition (e.g. a monthly elevator inspection). Each occurrence automatically appears as its own task and is assigned to the responsible person. For longer cycles (quarter, half-year, year), create individual tasks with a due date.

FAQ
How do I receive new repair orders? New tasks automatically appear in your task list in the app. If the included automation rule "Task assigned" is enabled, you are additionally informed via push notification and email.
Can I forward tasks to other technicians? Yes. Tasks can be assigned to other team members in the app or portal.
What happens with an urgent defect? Set the priority to "High". Automation rules can additionally trigger notifications to engineering management.
Does the app work in basement rooms without reception? Yes. The app works offline. QR codes and NFC tags can be scanned without an internet connection. Data is automatically synchronized when the connection is restored.
What happens if I can't scan a checkpoint? Complete the patrol anyway. The missing scan will be documented as a deviation. Inform your manager about the reason.
