Time Tracking (Property)

On this tab, you configure time tracking for the selected property. You manage work shift presets, define check-in/check-out methods, and set up kiosk devices for on-site tracking.

Navigation: Master Data → Properties → select a property → panel entry "Time Tracking" (group "Modules")

Time tracking (Property)

What Is This View For?

This tab is the central place to define HOW time tracking works at this property — display mode in the app, how people check in/out (button, QR, NFC, kiosk), automatic breaks, automatic ending, and blocked time windows. It answers:

  • Should employees check in on site via QR code/NFC or with a button press?
  • How should breaks be deducted automatically?
  • When are forgotten open work times ended automatically?

You analyze the recorded work times under Work Times — this tab only handles the configuration per property.

Features

Enable Time Tracking

Use the activation card to switch the time tracking feature for this property on or off. As long as the feature is disabled, no work times can be recorded for this property.

Display Mode

Choose between two display modes for the mobile app:

Attendance Presets

The presets table shows all configured shift templates for this property. Each preset defines shift times, repetition rules, and the check-in window. Click a preset to edit it, or create a new one.

Check-in Settings

Configure the available check-in and check-out methods separately for this property. Check-in and check-out can allow different methods.

Available methods:

  • NFC tag — contactless scanning via smartphone
  • QR code (static) — printed QR code at the location
  • Kiosk (dynamic QR) — QR code on the kiosk screen
  • Button click — manual check-in/check-out in the app
  • Background scan — automatic detection via the app

Allow exceptions:

Enable the "Allow exceptions" option separately for check-in and/or check-out. When enabled, employees can also check in with a method that is not enabled — but they must enter a reason, which is stored in the log.

Break Settings

Configure minimum break times for this property:

  • Uniform — the same break rule for all weekdays
  • Manual — individual break rules per weekday (Monday to Sunday)

Per day, you can define start time, end time, and break duration. If an employee ends a work time with less break than required, the break time is automatically raised to the minimum value.

The maximum break duration is configurable (default: 720 minutes / 12 hours). If the maximum break duration is exceeded, the break is automatically ended by the system.

Automatic Ending (Auto-Close)

Define when open work times are automatically ended by the system:

Calculation basisWith "After duration", choose the basis: gross (from the start time) or net (only effective work time, breaks are not counted)

Automatically ended work times receive the system note: "Automatically stopped by the system (maximum shift duration reached)." The system checks open entries up to 4 days back.

Blocked Time Windows

Define time windows in which no check-in is possible. Employees see a message in the app that time tracking is currently blocked and can only check in again after the time window has passed.

Location Proof (Geofencing)

Enable location proof to verify whether employees are on site at check-in:

  • The GPS location is recorded at every check-in, check-out, and status change
  • The system compares the coordinates with the property's location and marks entries as ONSITE (on site) or OFFSITE (outside)
  • In the web portal, administrators see the location history on a map in the detail view of a work time
  • The number of offsite entries is highlighted in the timeline

Work Time Categories (Tags)

Manage tags for this property's work time entries. Tags enable categorization and filtering of work times.

Kiosk Management

Create, edit, and delete kiosk devices for on-site time tracking. Each kiosk displays a dynamic QR code that employees can use to check in and out. You can configure an individual logo and welcome text per kiosk.

Calendar Preview

Open the calendar preview to see all scheduled shifts and rounds in a full-screen view.

Good to Know

:::tip Note

  • Check-in via button click cannot be used at the same time as NFC, QR code, or kiosk — the system removes incompatible methods automatically.
  • Check-in and check-out methods are configured separately. For example, you can allow check-in via QR code and check-out via button.
  • If you don't assign any presets to a kiosk, all active shifts of the property are shown automatically.
  • Break rules can be set individually per weekday — ideal for different shift models.
  • With location proof enabled, administrators can view the GPS history of every work time on a map. :::
