Incident Report Details

The incident report detail view shows you all information about a recorded incident report — description, photos, checkpoint, timestamp, and location. From here, you can export the incident report as a PDF, forward it by email, and approve the AI text version.

Features at a Glance

Detail Information

The view shows:

  • Description of the incident report
  • Recording date and time
  • Assigned checkpoint (if applicable)
  • Photo gallery with all captured images
  • Recording employee

Approving the AI Text Version

If the AI has written a text version for this incident, it appears in the message card. Two pills switch between AI version and Original text; above them you see where the version came from ("Generated from the incident text" or "Generated from the photo"). Long versions are unfolded via "Show more".

As long as no decision has been made, the version carries the marker "Awaiting approval" and offers three actions:

  • Approve — the version replaces the raw text in the customer report from now on.
  • Discard — the version is not used; the customer report keeps the raw text.
  • Edit — you change the version in the text field and confirm with "Save and approve".

After the decision, the card shows "Approved on … by …" or "Discarded". The original text is always kept and remains readable via the Original text pill. While nobody decides, nothing changes — the raw text goes out as before.

:::info Requires a connection Approving, discarding and editing are online-only. Without a connection you still see the version, but the buttons are greyed out — otherwise an approval queued offline could approve a version that has been regenerated in the meantime and that nobody has read. :::

PDF Export

Using the export button, you create a PDF file of the incident report. The PDF contains all details, the company logo, and the captured photos.

Email Sending

Using the email function, you can forward the incident report directly to a recipient. In the sending form, you can:

  • Select a recipient (from the customer list or enter manually)
  • Customize subject and message text
  • Attach photos

Task from the Incident Report

Using "Create task", you create a follow-up task directly from the incident report — the report stays linked to the task. If a task is already linked, "Open task" takes you there.

Form Responses

The reports list (More → Analysis → Reports) combines incident reports and form responses. Tapping a form response opens the "Form" detail view: all answers per field (e.g. OK/Defect/n/a or Yes/No), plus media, videos, and signatures, as well as the status Draft or Submitted.
