Record order

You create new orders in the order list via the blue "Record order" button (recording requires the permission to create customers — without it, the button is hidden). A dialog opens: the required fields at the top, three optional sections as cards below.

The required fields

  1. Customer (client) — required, with a search field; the select searches server-side, even with many customers.
  2. Property (optional) — assigns the order to a property. The property later drives the duty-roster filter and the in-app visibility of files on the order.
  3. Title — at least 3 characters; the placeholder shows the pattern: "Office maintenance cleaning, ground floor, 2× weekly".
  4. Description — optional free text.

The three sections

Below the master data sit up to three cards. "Execution task" is already active when the dialog opens; "Billing positions" and "Staffing requirements" are added via the chips under "More options". The X in a card's top-right corner removes the section along with its inputs.

Execution task

Creates a task on save that your team uses to carry out the order:

  • Due on — the task's due date.
  • Employees — who gets the task assigned ("Assign employees").
  • Material demand — only with the material module enabled: via "Add material" you pick items and quantities planned for the execution.

Billing positions

Each position describes one invoice line. Via "Add position" you add any number of rows with:

  • Kind — Service, Material, Travel, or Custom.
  • Title — "Title (appears on the invoice)".
  • Unit, unit price (net, in €), and VAT rate.
  • by effort — when ticked, the quantity stays open; it is prefilled on completion from recorded time or consumed material. Without the tick, you enter a fixed quantity.

Positions of kind Service carry two extras:

  • Service type — "Service type (links planning and capture)": the binding to your service-type catalogue. Only with it can the service schedule later check whether a shift covers the service.
  • Execution planning — expandable: execution days (weekdays), one time window (from–to), staff per shift, and an execution note (e.g. "after closing time only").

:::tip By effort or fixed quantity? Recurring services with time tracking ("maintenance cleaning, hrs.") run by effort — the quantity comes from the actuals on completion. Flat rates and per-piece services ("deep cleaning, 1× flat") are recorded with a fixed quantity. :::

Staffing requirements

Independent requirement lines, separate from the positions — the target for staffing the shifts. Per line ("Add requirement line"):

  • weekdays (at least one),
  • optionally a time window (From/To),
  • number of staff,
  • optionally a qualification from your catalogue.

Save and keep planning

  1. Check your input and click "Record".
  2. The confirmation "Order recorded" appears — with the button "Plan shifts now".
  3. Clicking it opens the shift dialog of the planning calendar with the order already prefilled; if a property is set, the property filter is set too.
  4. Create the shift series there — it stays linked to the order and appears on the detail page under "Shifts".

You can also do this step later: the detail page of an open order offers the same entry point as the "Plan shifts" button.
