Guide for Site Managers

This guide explains step by step how to set up LiteLog at a guarded property: install checkpoints, create patrols and activate time tracking.

1. What you need​

Before you begin, make sure you have the following:

  • Smartphone (Android or iOS) with the LiteLog app installed
  • LiteLog access with a role that may manage properties and checkpoints (e.g., "Site Manager")
  • NFC tags and/or printed QR codes for checkpoints
  • QR code for time tracking (generated in the portal)

2. Create property​

If the property does not yet exist in the portal, create it:

  1. In the portal under Properties, click Create — the map wizard opens
  2. Use the map search to find the location — name and address are automatically filled in
  3. Define the premises — draw the property boundary on the map (choose a slightly larger area so that check-ins are recognized across the entire grounds)

3. Devices​

Both company phones and personal smartphones can be used. If you accept personal devices, consider deactivating the live location display in the portal.

Company phone at the property​

If a company phone stays permanently at the property, open its device details in the portal under Settings → Devices and enable Restricted access to properties under "Assignment". All employees who sign in via this device then automatically only have access to the assigned properties. This prevents incorrect check-ins and makes it easier for employees to use.

Personal phones​

With personal devices, employees sign in with their own smartphone and select the property themselves. Make sure that the location sharing settings meet your data privacy requirements. Automatic logout should be disabled for personal devices.

:::tip Automatic logout For company phones that stay at the property, automatic logout should be enabled — this ensures that each employee signs in with their own account and patrols are not recorded under the wrong name. For personal phones, it should be disabled since the employee stays permanently logged in. :::

:::info NFC scanning: iOS vs. Android On Android, NFC tags are detected automatically in the background — simply hold the smartphone to the tag. On iOS, the NFC scanner must be opened first: swipe right to left. The QR code camera opens by swiping left to right. :::

4. Create & install checkpoints​

Checkpoints are the locations that guards scan during their patrol. Place them at security-relevant positions.

Typical checkpoint locations​

  • Main entrance / side entrance
  • Fence and gate systems
  • Server room / utility room
  • Underground parking / parking deck
  • Stairwells and escape routes
  • Outdoor areas (corners, blind spots)

Create a checkpoint​

  1. Log in to the LiteLog app
  2. Select the property (if not already selected)
  3. Open the More tab
  4. Under Settings → Tasks, tap Manage control points
  5. Tap New control point
  6. Select type: For patrol
  7. Enter name (e.g., "West Gate", "Server Room GF"), optionally set photo and location
  8. Bind the chip: open the linking wizard → type Checkpoint → choose the target (filter Only without chip) → hold the chip steadily to the phone until the app reports "done" → Link another for the next point
  9. Alternatively or additionally: share the QR code as PDF via Print QR codes, or switch on Capturable via GPS outdoors (portal, radius 20 to 1000 m)

Existing or third-party chips can be reused; for locked chips the app asks once. Details: Third-party, locked and unformatted chips. Large sites are structured into areas in the portal.

Install NFC tags​

  • Attach tags with industrial adhesive or screws
  • Position so that the guard can reach the chip with their smartphone
  • Do not stick on metal — use on-metal chips there or choose a non-metallic surface next to it; scan once after mounting

:::tip Tamper protection Install NFC tags so they cannot simply be removed and scanned at a different location — e.g., behind a cover or with security screws. :::

5. Property documents​

In the portal, you can upload documents on the property's "Documents" tab — e.g., PDFs or images. Employees can view these documents directly in the app. Typical content includes emergency numbers, site plans, duty instructions or key protocols.

6. Set up patrols​

LiteLog offers two types of patrols:

Free patrols​

Once checkpoints are linked to a property, employees can start a free patrol immediately — in the app via "Start on the spot", without any further configuration. They scan the desired checkpoints in any order.

Patrol templates​

For recurring, planned patrols you create patrol templates in the portal: Tasks → Create ▾ → Create patrol, three steps (basic data, scheduling with preview, checkpoints with order and mandatory flag). For district patrols you connect several properties into a tour.

7. Set up time tracking (optional)​

In addition to patrols, LiteLog can optionally track your guards' shift times. By default, time tracking is set to QR code. You can download the QR code from the portal on the property's "Time tracking" tab and print it — e.g., for the guard room.

:::tip Separate patrols and time tracking Patrol checkpoints and the time tracking QR code are separate functions. The time tracking QR code is only for shift check-in/out, not for patrol control. :::

Evaluate shifts​

If Attendance Control is set up, you can check in the portal whether your security staff arrived on time and in full for their shift. Set the period to the past and select the "No check-in" tab to quickly spot deviations.

Checklist: Property ready for deployment?​

  • Property created in the portal and premises defined
  • Checkpoints created and NFC tags / QR codes installed
  • First patrol completed (free or via template)
  • Time tracking QR code printed and displayed (if desired)
  • Guide for Security Guards printed and available
