Frequently asked questions about the guard tour system
The questions are worded the way security services ask them. Every answer names the click path and the page with the details. The overview is on Guard tour system.
Patrols and control points
"How do I create a patrol?"
In the portal under Tasks → Create ▾ → Create patrol. The wizard has three steps: basic data (property, name), scheduling with a preview of the next runs, control points with order and mandatory flag. Without planning, the guard starts a free patrol in the app at any time via Start spontaneously. Details: Create patrol.
"Do I have to write the patrol information onto the NFC chip?"
No. The chip carries only a LiteLog marker. You assign the chip ID to a control point, in the app under More → Settings → Tasks → Manage control points. What has to be done at the point is maintained in the portal at the control point or the patrol. Details: Manage control points.
"May I use third-party or existing NFC chips?"
Yes. Blank chips are formatted and locked by the app when binding. Chips that are already locked or come from another system are bound by their ID after a confirmation ("Chip might cause problems … Continue anyway?"). Details: Third-party, locked and unformatted chips.
"Do your NFC chips have GPS?"
No. An NFC chip is passive and has neither power nor GPS. The position comes from the guard's phone and is stored on the scan. If you want to go without hardware, create a GPS point: set the location on the map and switch on Capturable via GPS; during a running patrol the app books the point as soon as the phone reaches the radius. Details: Capturable via GPS.
"Where do I buy GPS points?"
Nowhere. A GPS point is a control point with a location and the switch Capturable via GPS turned on; it costs nothing. NFC chips and cards are available in the license shop; QR codes you print yourself.
"Can I introduce NFC at some sites only and use QR or GPS elsewhere?"
Yes. Every control point always has a QR code; NFC, beacon and GPS are added per point. You mix the methods freely, even within one property. Details: Control points.
"How do I print all QR codes of a property at once?"
Portal: Property → Tasks → Setup, select control points, Download PDF. App: Manage control points → Print QR codes, select several points, share as PDF.
"Why can't I see the QR code for time tracking?"
The time tracking QR code is different from a control point's QR code. It appears on the property's Time tracking tab only if the method static QR code is set there. Control point QR codes, on the other hand, always exist. Details: Time tracking (property).
Proof and client
"How does my client receive the PDF with the photos automatically?"
Portal: Property → Dispatch → Schedule dispatch. Choose the report (for example the patrol log or the combined protocol), the rhythm, and enter several recipients. The patrol log contains the photos of the incident reports, the form PDF photos and signatures, the incident list a photo column. Details: Dispatch (property).
"Can the client sign in and see the guard book themselves?"
Yes. Portal: Master data → Customers → view Customer accesses → New. You assign username and password and choose the visible areas: rounds, tasks, incidents, tickets, reports, material, work orders, attendance proof. The client sees only their properties; people appear as personnel numbers. Customer accesses occupy no seat and are included in every package. Details: Customer accesses.
"Is the service proof only in the Premium version?"
No. Patrol logs, automatic dispatch and customer access belong to every package, Starter included. Premium adds the areas Tickets and Material in the customer access and the service level KPI page. Details: Choose a package.
"How does our logo get onto the reports?"
With the add-on Branding / White-label (included in Premium). Then store logo and document templates under Settings → Branding; all PDFs appear in your design. Details: Branding.
"Why can I only export patrols for 14 days?"
The control point coverage (target per day per point) is limited to 14 days because it calculates per point and day. The patrol log and the incident list can be exported for longer periods under Export & dispatch.
"What does the client see per patrol?"
In the Rounds area: time, result and the patrol read-only, without the guard's name. In the patrol log for yourself: start, end, duration, scans against target, person, capture method and incident reports. Details: Customer portal.
Alerts and notifications
"Where did the Notifications tab go?"
The property tab no longer exists. Event rules ("Missed patrol", "Missing control point", "Check-in missing") live in Automation (tile in the Tools group → Rules), the rules of one property under Property → Automation. The scheduled report dispatch lives under Property → Dispatch. Details: Automation — rules.
"Will I be notified if a point or a patrol is missed?"
Yes. The rule Missed patrol → e-mail is active in every new account. Missing control point, Patrol starting soon and Check-in missing you activate from the template gallery, with push notification, e-mail and, if you wish, escalation to the operations management after a waiting time. Details: Create rule.
"Why do I get an e-mail for every photo?"
Because the rule Control point scanned with photo → e-mail is switched on. Switch it off under Rules; the patrol log still shows the photos.
"What does alerting by SMS or call cost?"
Push notification and e-mail are included in every package. SMS and calls need an add-on: SMS & Calls (€19 per month, unlimited) or Lone worker protection (€29 per month, 100 SMS and calls, included in Premium). Without an add-on the quota is zero. Details: Quota for SMS and calls.
"Do you have a dead man's switch?"
LiteLog has check-in monitoring: the lone worker confirms at fixed intervals that everything is fine; if the confirmation stays out, LiteLog escalates via pre-alarm and main alarm by push, e-mail, SMS and call. It belongs to the add-on Lone worker protection. It does not replace a certified personal emergency signal system. Details: Check-in monitoring.
Incident reports and forms
"How do I report a cash drop in the safe?"
For a recurring case with fixed fields you build a form template (amount, witness, photo, signature) under Settings → Form templates and release it for the app. For one-off occurrences the incident report with photo is enough. Details: Form editor, Incident reports.
"Can I use text snippets for parking and driving bans?"
Yes. Under Settings → Catalogs → Text snippets you create your own or adopt the catalog Public order / parking enforcement (parking, street, driving ban, leash requirement, camping, public space) with Adopt examples. In the app the Text snippet button sits below the Message field, also offline. Details: Text snippets.
"Can a QR code open a fixed report form directly?"
The ticket QR at the property opens a fixed public form with description and photo, without app and without signing in; it creates a ticket on your side. It does not open your own form templates; your people fill those in the app. Details: Ticket QR.
"Does the AI evaluate photos too?"
Yes, if you switch on the AI feature Auto-classify incidents (per company and per property). The AI suggests category, severity and title and takes the photo into account. You keep the last word. Details: AI features.
Team, subcontractors, languages
"How do I add a subcontractor?"
Portal: Master data → Subcontractors (from the Standard package, company switch under Settings → Features → Subcontractor access). The subcontractor gets a role with visibility Own accounts only, creates its people itself and sees only the released properties. Details: Subcontractors.
"Who enters the guard register number?"
Create the field once: Master data → Employees → open employee → Add field, type short text, mandatory if you wish. From then on it is in every profile. Whoever may edit the account enters it: your admin for your own people, the subcontractor for their accounts. Qualifications such as §34a are maintained separately under Settings → Catalogs → Qualifications. Details: Custom fields.
"Do employees see all tasks or only their own?"
The role decides. Under Settings → Hierarchy & roles you define per role which properties and rights it has; tasks at a control point are shown to specific roles only with the field Visible at the point for. Details: Hierarchy & roles.
"Is the app available in Czech?"
Yes. App and portal are available in 15 languages, including Czech, Polish, Romanian, Ukrainian, Turkish and Arabic. Each person sets their language in the profile. Details: Profile.
Data protection, packages, devices
"May personal data be kept online in the guard book?"
LiteLog is built for it: hosting in Frankfurt am Main, a data processing agreement with LiteLog, access by role only. You show people to the client as personnel numbers by default. What you record about third parties (for example visitors or offenders) in incident reports follows your own data protection rules; LiteLog does not prescribe the fields. Details: Data protection & security.
"Where are the servers?"
In Frankfurt am Main. Production and backup data do not leave Germany. Details: Data protection & security.
"Does the electronic guard book hold up in court?"
Submitted entries cannot be changed afterwards, carry timestamp and person, and every correction is created as a new entry with a reason. That makes the evidence robust; whether a court accepts it in an individual case is for the court to decide. Details: Data integrity & ALCOA+.
"Do I pay per employee or per property?"
Neither. A package contains a number of concurrently active users (seats); properties are not limited. Customer accesses occupy no seat, subcontractor employees do. Details: Choose a package.
"Do we need company phones?"
No. The guards' own phones are enough. For a company phone that stays at the property, enable restricted property access and automatic sign-out under Settings → Devices. Details: Devices.
"Does LiteLog do GPS tracking, fleet management or a control room connection?"
No. Positions arise only on a scan, during a patrol or a shift; there is no movement trail. There is no fleet module, no navigation between patrol locations and no control room protocol such as VdS 2465 or SIA DC-09; connections run via the REST API and webhooks.
"Can ChatGPT or Claude tell me which points were missed last night?"
Yes, via the AI connection. You connect your AI tool to LiteLog and ask: "Which control points were missed last night at guard site A?" The answer comes from LiteLog, with your rights. The prerequisite is a package with the REST API (from Standard). Details: AI connection.
