Time Tracking — Overview

Time tracking in LiteLog enables the digital recording, management, and evaluation of your employees' work times. This chapter gives an overview of the concepts involved and the typical flow.

How Time Tracking Works

1. Setting Up the Property

Enable time tracking for a property under Properties → Property → "Time tracking" tab. That is where you configure all settings.

2. Configuring Methods & Rules

Define how employees check in and out:

  • Check-in methods — button, static QR code, kiosk, NFC tag, NFC scanner device, or manual recording (configurable separately for check-in and check-out)
  • Beacon (Bluetooth proximity proof) — additional on-site proof on top of the button, QR and NFC methods; range configurable per property
  • Break rules — minimum breaks per weekday
  • Auto-Close — automatic ending after a duration or at a fixed time
  • Location verification — GPS check whether employees are on site — only at the moment of check-in/check-out, no movement profiles
  • Blocked time windows — times during which no check-in is possible

3. Planning Shifts

Under Planning → Shifts you create shifts, optionally as a recurring series with times, check-in windows, and requirements. The system automatically generates the individual assignments from them.

4. Employees Check In

Employees check in via the mobile app — using the configured methods. The system records timestamps, location, and break times.

5. Evaluating & Exporting Data

Work times, shift logs, and attendance lists are available for evaluation and export (CSV/PDF).

Terms

TermMeaning
PropertyA site or place of work for which time tracking is configured
TemplateA reusable shift type with times and settings — the starting point when creating a shift
ShiftA (possibly recurring) series with times, recurrence, and rules — individual assignments are generated from it
AssignmentA single occurrence of a shift on a specific day
Work timeAn individual work time entry of an employee (start, end, breaks)
SublogA single event within a work time (login, logout, break started, break ended)
KioskA device with a dynamic QR code for on-site check-in
Check-in windowThe period around the shift start (before/after) during which a check-in counts as on time
Check-out windowThe period around the shift end (before/after) during which a check-out counts as on time
ONSITE / OFFSITELocation status of an event — on site or outside the geofence

Linking Work Times and Shifts

If shifts are planned, the system automatically links work times to the matching shift. This enables:

  • Punctuality evaluation (too early, on time, too late)
  • Deviation display in minutes
  • Shift status evaluation (successful/failed)

The linking happens automatically at check-in, periodically in the background, or manually by administrators.
