Setup
This guide is for management, operations managers and admins who are setting up LiteLog as a guard tour system for their security service.
1. Create account & get started immediately
Register at portal.litelog.de/signup. There are no setup costs — you start immediately with a 14-day free trial and can use all features without restrictions.
In the onboarding wizard, select "Security Services" as your industry and create your first customer and property right away.

2. Create customer
Set up your clients as customers — this allows properties, reports and access to be assigned automatically. Optionally, you can also set up a dedicated client portal where your customers can view reports and incident reports themselves.

3. Create property
Each guarded property is represented as a separate location in LiteLog. Patrols, incident reports and times are recorded separately per property.

4. Create employees & grant access
Set up your security guards, site managers and operations managers as employees. Only the name is required — an email address is optional.
Multiple employees at once? Import your employee list via CSV file instead of creating each one individually.

Sign-in options
Employees can sign in via different methods:

:::tip Prefer QR code and NFC Signing in via QR code or NFC chip is especially practical for security services — your employees don't need to remember a password and you avoid "forgot password" requests. :::
5. Download app
Your employees install the LiteLog app from the App Store (iOS) or Google Play Store (Android).

6. Devices
Both company phones and personal smartphones can be used. If you accept personal devices, consider deactivating the live location display in the portal.
Company phone at the property
If a company phone stays permanently at the property, you can designate it as a property phone in the portal under Settings → Devices. All employees who sign in via this device will automatically only have access to this one property. This prevents incorrect check-ins and makes it easier for employees to use.
Personal phones
With personal devices, employees sign in with their own smartphone and select the property themselves. Make sure that the location sharing settings meet your data privacy requirements. Automatic logout should be deactivated for personal devices.
:::tip Automatic logout For property phones, automatic logout should be enabled — this ensures that each employee signs in with their own account and patrols are not recorded under the wrong name. For personal phones, it should be disabled since the employee stays permanently logged in. :::
:::info NFC scanning: iOS vs. Android On Android, NFC tags are detected automatically in the background — simply hold the smartphone to the tag. On iOS, the NFC scanner must be opened first: swipe right to left. The QR code camera opens by swiping left to right. :::
:::tip NFC chips or QR codes as login method for shared devices When multiple employees share the same company phone, we recommend NFC chips or personal QR codes as the login method. Each employee simply holds their NFC chip to the device or scans their QR code — the app recognizes the employee and instantly switches to the correct account. This eliminates manual logout/login entirely and makes shift handovers take just one second. :::

7. Create & assign checkpoints
Checkpoints are the inspection points that your guards scan during a patrol. Each checkpoint is linked to an NFC tag or QR code.
Create a checkpoint — portal or app
You can create checkpoints either in the web portal or in the mobile app — both stay in sync automatically. For each checkpoint you set a name, the type (checkpoint for patrols or work time for time tracking), and optional notes.
QR codes (generated in the portal)
QR codes are created exclusively in the portal — there you can download and print individual codes or multiple QR codes on a single page (grid layout). This makes it easy to prepare many checkpoints at once during the initial setup of a property.
NFC tags (written in the app)
NFC tags are written exclusively in the mobile app. Open the "Checkpoints" section in the app, create a new point and hold the NFC tag to your smartphone — the app writes the unique chip ID and links the tag to the checkpoint.
:::warning Do not stick NFC tags on metal NFC technology works significantly worse on metal surfaces. Use special on-metal tags or attach tags to non-metallic surfaces (e.g., plastic, wood, wall). :::
Photo on the checkpoint (optional)
You can attach a photo to each checkpoint (PNG/JPG, max. 1 MB) — e.g., of the door, the tag sticker, or the staircase. Guards see the photo in the app and can immediately tell during the patrol whether they are at the right point. Photo upload works in both the portal and the mobile app.
Position on the map (optional)
You can assign a position on the map to every checkpoint — directly in the portal via the map picker, or in the app via "Current location". Guards see all checkpoints as pins on the map in the app — especially on large properties (warehouses, hospitals, business parks) this makes every point reliable to find.

:::tip Recommendation for security services NFC tags are the better choice for security — they are more tamper-resistant and require physical proximity to the checkpoint. QR codes are suitable as a supplement or for temporary locations. :::

8. Property documents
In the portal, you can upload documents to the property under property settings — e.g., PDFs or images. Employees can view these documents directly in the app. Typical content includes emergency numbers, site plans, duty instructions or key protocols.

9. Set up patrols
LiteLog offers two types of patrols:
Free patrols
Once checkpoints are linked to a property, employees can start a free patrol immediately — directly via the app, without any further configuration. They scan the desired checkpoints in any order.
Patrol templates
For recurring, scheduled patrols, create patrol templates in the portal. This lets you define which checkpoints must be scanned when, how often and in which order.

10. Incident reports
Employees can document irregularities directly on site via the app — with photos, GPS location and checkpoint assignment. Responsible persons are automatically notified. Works offline too.

11. Evaluate data
The recorded patrols, incident reports and times can be evaluated in several ways:
- Mobile app — View patrol history and incident reports directly on the smartphone
- Web portal — Filter and evaluate all data centrally under "Data & Reports"
- Download — Download evaluations as PDF or CSV
- Automatic delivery — Send reports periodically by email to clients
- Client access — Set up a dedicated login for clients so they can view reports and incident reports themselves

12. Set up time tracking (optional)
In addition to patrols, LiteLog can optionally track your guards' shift times. By default, time tracking is set to QR code. You can download the time tracking QR code from the portal under the property settings and print it — e.g., for the guard room.
:::tip Separate patrols and time tracking Patrol checkpoints and the time tracking QR code are separate functions. The time tracking QR code is only for shift check-in/out, not for patrol control. :::

Set up Attendance Control (optional)
In addition to time tracking, you can automatically verify that your security staff arrives on time for their shift. Create a preset with shift times, requirements (e.g. "at least 1 check-in") and notification channels. The system evaluates each shift automatically as Successful or Failed and alerts you on deviations — via push, email, SMS or automated phone call.
