Create and edit a preset

A preset is the central configuration for recurring shifts. You define shift times, check-in/check-out windows, recurrence rules, requirements and notification channels. The system automatically generates individual shifts from each preset.

Step 1: Basic information
Enter the name of the preset and select the property. The name should be unique (e.g. "Night shift Building A" rather than just "Night shift").
Step 2: Shift times
Set the start and end dates as well as the times.
:::warning Restriction The duration per shift must be between 1 minute and 24 hours. :::
Step 3: Check-in and check-out windows
Define how many minutes before the shift starts a check-in is possible and how long after the shift ends a check-out remains open.

| Check-in window: 30 min | Employees can check in from 30 minutes before the shift starts |
| Check-out window: 15 min | Employees can check out up to 15 minutes after the shift ends |
| No check-in window | Check-in is only possible from the shift start |
| No check-out window | Check-out is only possible during the shift |
Step 4: Requirements
Optionally define which conditions must be met for a shift to be evaluated as successful.

| Minimum count | At least X check-ins must occur | "At least 3 employees must check in" |
The evaluation (Successful/Failed) is only assigned once the shift reaches the "Completed" phase. A full overview of the evaluation logic is available under Attendance Control.
Step 5: Rules
Enable automatic check-out and other rules:
- Automatic check-out — Employees are automatically checked out at the end of the check-out window. The automatic check-out counts like a regular check-out for requirements.
Step 6: Recurrence
Configure how often the shift should take place:

| Once | Takes place only on a specific date |
| Daily | Repeats every X days |
| Weekly | Repeats on selected days of the week |
| Monthly | Repeats on selected days of the month |
The system generates shifts automatically for the next 5 days. New shifts are continuously generated afterwards. Duplicate entries are prevented.
Step 7: Holiday handling
Define how holidays and special days of the property are taken into account:

| Ignore | Shifts take place on holidays as usual |
| Suspend | No shift is generated on holidays |
| Only on holidays | Shifts take place exclusively on holidays |
:::warning Maintain holidays in property settings Holiday handling only works if holidays and special days are maintained in the property settings. Without maintained holidays this setting has no effect. :::
Step 8: Notifications
Configure alarm channels (push, email, SMS, phone call), message templates with placeholders and recipients for this preset.

Edit an existing preset
When editing an existing preset you choose when the change takes effect:
| Option | Effect |
|---|---|
| Immediately | The old configuration is replaced. Already completed shifts remain unchanged in the log. |
| From a date | The old configuration remains active until the chosen date. From that date the new settings apply. No logs are lost. |
Duplicate a preset
Use an existing preset as a template to quickly create a similar configuration. All settings are copied — then adjust the name, times and property.
